This guide explains how both activities work, what is included in your participation, what you need to prepare, and what to expect before and during the conference.

Please note that certain details, deadlines, and technical specifications may vary depending on the event. Always check the page of the conference you are applying for.

What is the Showcase?

The Showcase is a dedicated conference area where developers can present their games to attendees throughout the event.
Visitors can stop by your spot, try or view your game, learn more about the project, speak with your team, and share their feedback.

What is the Indie Pitch?

The Indie Pitch is a live presentation of your game in front of an expert jury.
Each selected team gives a short presentation, introduces its project, and receives questions and professional feedback from the jury.

Do I have to participate in both activities? - NO

You can:

  • participate in the Showcase only;
  • participate in the Indie Pitch only;
  • apply for both activities.

The Showcase and Indie Pitch are separate activities. Participation in one does not automatically guarantee or require participation in the other.

Application and Selection

Is there a selection process?

Yes.
Both the Showcase and Indie Pitch require prior approval.
Submitting an application does not mean that your participation has been automatically confirmed.
Showcase applications are usually reviewed within a few days of submission.
Indie Pitch applications are reviewed closer to the event. The exact selection timeline and announcement date are listed on the page of the relevant conference.

When will the Indie Pitch selection results be announced?

The results are usually announced approximately one week before the event.
Please check the relevant conference page for the exact date.

Can I submit additional materials after applying?

Yes.
Please send any additional materials to the manager handling your application.

Can I update the information in my application?

Yes.
To update your project description, presentation, build, contact details, links, or other information, please contact your manager.

Can I submit several projects?

Yes, you may submit several projects.
However, only one project per team can usually be approved for participation.

Can I withdraw my application?

Yes.
Please notify your manager as soon as possible if you decide not to participate.


Can I change the team members listed in the application?

Changes are possible, but they are not recommended close to the event.
Please inform your manager in advance. We will do our best to accommodate the change, but last-minute updates may not always be possible.

Can I change the Indie Pitch speaker?

Yes.
Please inform your manager in advance if another team member will be presenting the project.

Whose contact details should be included in the application?

You may provide the contact details of any team representative.
The main requirement is that this person remains available and can respond promptly to messages from the organizers.

Tickets and Registration

How many tickets does each team receive?

Each approved Showcase or Indie Pitch team receives one Standard Pass.
The pass is valid for one person only.

Can I get an additional pass for a colleague?

Yes.
You can purchase an additional conference pass. A special discount may be available for participants; please ask your manager for details.
You may also receive a second pass by publishing a post about your participation on social media and sending your manager a link or screenshot confirming the publication.

Is there a template for the social media announcement?

There is currently no mandatory template.
You may publish the announcement in your own format. Please mention your project, your participation in the Showcase or Indie Pitch, and the relevant WN Conference.

Can I bring a colleague, partner, friend, or family member?

The complimentary Standard Pass is valid for one person only.
Any accompanying person will need a separate pass. You can purchase an additional pass or complete the conditions required to receive a second participant pass.

Is the pass personalized?

Yes.
Each pass is issued to a specific person and cannot be transferred to another attendee without prior approval.

What do I need to show at registration?

You only need to show your conference ticket.

Do I need to wear my badge throughout the conference?

Yes.
Please wear your badge at all times during the event. It is required for access to the conference areas and participant identification.

What is included in the Standard Pass?

The full list of benefits included in each ticket category is available on the website of the relevant conference.

Can Standard Pass holders attend the conference party?

No.
The conference party is available to Premium Pass holders only.

Before the Conference

When will I receive the participant instructions?

Detailed participant instructions will be sent a few days before the event.

What time should I arrive?

We recommend arriving approximately one hour before the conference opens.
This will give you enough time to complete registration, receive your badge, find your spot, set up your equipment, and prepare for visitors.

What should I bring?

Please bring everything required to demonstrate your project, including:

  • a laptop, computer, console, tablet, or other device;
  • chargers and power cables;
  • adapters, if required;
  • an extension cord or power strip;
  • headphones, if required;
  • your game build and all necessary files;
  • branded materials;
  • a roll-up banner or other visual materials;
  • merchandise or printed materials you would like to distribute.

We strongly recommend testing your game and all equipment before arriving at the venue.

Showcase Participation

What does a standard Showcase spot include?

A standard Showcase spot usually includes:
- one table or designated table area;
- one chair;
- a printed sign featuring the team and game name;
- access to electricity;
- access to the venue Wi-Fi.

A standard spot is generally designed for one team representative.

How large is the Showcase spot?

The exact dimensions may vary depending on the conference and venue.
As a general guideline, the width of each participant’s area is approximately 90 cm.
A detailed technical specification with the exact dimensions will be provided for the relevant event.

Can two team members present the game together?

Yes.
Please notify us in advance if two people will be working at the Showcase spot so that we can try to allocate additional space.
Both representatives must have their own conference passes.

Can I request more space or a separate table?

Yes. 
Please submit your request in advance. If your equipment requires additional space or you plan to have two representatives at the spot, contact your manager. Additional space and separate tables are subject to availability and venue layout.

Can my team be placed next to another specific team?

Yes.
Please inform us in advance, and we will try to take your request into account when preparing the floor plan.
Placement requests cannot always be guaranteed.

How will I find my Showcase spot?

Please ask the registration team when collecting your badge.
They will direct you to the relevant Showcase area and help you locate your assigned spot.

Can I present more than one game at my Showcase spot?

Technically, yes.
However, we strongly recommend focusing on one project, as this usually makes the presentation clearer and more effective for visitors

Can I replace the game after submitting my application?

Yes.
Please notify your manager as early as possible, especially if the game title or other information has already been prepared for printed materials.

Can I participate with an unfinished game?

Yes.
Your game does not need to be fully released or completed.
However, you should have something that visitors can see or experience, such as:
- a playable build;
- a prototype;
- a vertical slice;
- a video;
- or other clear presentation materials.

Can I participate with only an idea?

Applications are reviewed individually.
However, the Showcase is designed for presenting games, so participation with only an idea and no visual, playable, or presentation materials is unlikely to be effective.

Can I leave my Showcase spot during the event?

We recommend keeping your spot attended throughout the Showcase.
An empty spot is less effective for your team and creates a poor experience for visitors.
If you would like to attend a conference session, please arrange for another team representative to remain at the spot whenever possible.

Can I leave my equipment at the venue overnight?

Yes.
If the conference takes place over several days, you may leave your equipment at the venue overnight.
Please note that the organizers cannot assume responsibility for unattended personal belongings or equipment.

Equipment, Electricity, and Internet

Will computers, laptops, or monitors be provided?

No.
Participants must bring their own devices and any other equipment required to demonstrate their projects.

Can I rent equipment?

Equipment rental may be available depending on the event and venue.
Please ask the manager handling your application for more information.
Availability and pricing are determined by local technical contractors and may therefore vary between conferences.

Will electricity be available at every spot?

Yes.
Each Showcase spot will have access to electricity. At least one power outlet is expected to be available per participant.
If you need to connect several devices, please bring your own extension cord or power strip.

Can I use my own extension cord?

Yes.
We recommend bringing an extension cord or power strip if you intend to use more than one device.
Please ensure that your equipment is in good condition and suitable for use at the venue.

Will Wi-Fi be available?

Yes.
Wi-Fi will be available at the venue for Showcase participants.
However, we recommend preparing an offline version of your build whenever possible. The organizers cannot guarantee that the connection will be suitable for downloading large files, streaming, cloud gaming, or other high-bandwidth activities.

Showcase Branding and Promotional Materials

Can I bring my own roll-up banner or branded display?

Yes.
You may bring a roll-up banner, tabletop signage, printed materials, and other branded elements.
All materials must remain within your allocated area and must not:

  • block neighboring participants;
  • obstruct walkways;
  • interfere with visitor movement;
  • cover another team’s signage;
  • damage the venue, furniture, walls, or flooring.
Can I decorate my Showcase spot?

Yes.
You may use branded or decorative materials as long as they fit within your allocated area and comply with venue requirements.
A separate technical specification may be provided with recommended dimensions and examples of suitable materials.

Can I distribute merchandise and flyers?

Yes.
You may distribute merchandise, flyers, business cards, stickers, and other promotional materials from your Showcase spot.
Please keep all materials within your area and ensure that they do not create clutter in shared spaces.

Are there any sound volume restrictions?

There is no fixed volume limit.
However, the Showcase is a shared area, and the sound from your game or equipment must not disturb neighboring teams or visitors.
If the volume is considered too high, the organizers may ask you to reduce it.
We recommend using headphones whenever they are suitable for your presentation.

Indie Pitch Participation

Can two people present the project together?

Yes.
Two team members may present the project together during the Indie Pitch.
Both participants must have valid conference passes.

How much time is allocated to each team?

Each selected team receives 15 minutes in total:

  • 5 minutes for the project presentation;
  • 10 minutes for questions and feedback from the jury.

Please make sure that your presentation fits within the five-minute limit.

What language is used for the Indie Pitch?

The language depends on the location and format of the conference.
- Indie Pitch sessions at Russian-language conferences are conducted in Russian.
- Indie Pitch sessions at international conferences are conducted in English.
The relevant conference page will specify the required language.

What language should my presentation be in?

Your presentation should be prepared in the same language as the Indie Pitch session.
For international WN Conferences, both the presentation and the spoken pitch should normally be in English.

Do I need to submit my presentation in advance?

Yes.
Your presentation must be submitted in advance.
The Indie Pitch selection process takes the presentation into account, and only applications with correctly prepared materials can be fully reviewed.

What format should the presentation follow?

The presentation must follow the requirements provided in the dedicated Indie Pitch presentation guide.
A link to the guide will be included on the relevant conference page or sent to applicants by the organizing team.

Are templates or presentation examples available?

Yes.
The Indie Pitch presentation guide includes the necessary structure, technical requirements, and examples.

How will I switch slides during the presentation?

A presentation clicker will be available on site.
The speaker will use it to control the slides during the pitch.

How should videos be included in the presentation?

Videos must be correctly embedded in the presentation and set to start on click.
Please test all video files, animations, fonts, and transitions before submitting the presentation.
We also recommend bringing a backup copy of the presentation and all media files on a USB drive.

Will sound be available?

Yes.
The necessary sound equipment will be available during the Indie Pitch.
Please make sure that the audio in your presentation works correctly and is embedded or linked in accordance with the technical requirements.

Can I replace my presentation after submitting it?

Yes, but you must inform your manager in advance.
The deadline for replacing a presentation is agreed individually and depends on the event schedule and technical preparation process.

What if I need to update the presentation at the last minute?

Please notify the organizers as soon as you know that changes will be required.
We will do our best to replace the file. However, if an updated presentation is submitted immediately before the event, we may not be able to guarantee that the new version will be uploaded and tested in time.
To avoid technical issues, we strongly recommend finalizing the presentation in advance.

Online Participation

Can I participate online?

No.
The Showcase and Indie Pitch are held in person only.
Remote presentations and online Showcase participation are not currently available.

During the Conference

Can I attend conference sessions?

Yes.
Showcase and Indie Pitch participants may attend conference sessions included in their ticket category.
However, Showcase participants are asked not to leave their spots unattended. If you plan to attend a session, please arrange for another team representative to stay at your spot whenever possible.

Can I decorate my Showcase spot?

Yes.
You may use branded or decorative materials as long as they fit within your allocated area and comply with venue requirements.
A separate technical specification may be provided with recommended dimensions and examples of suitable materials.

Can I take part in networking?

Yes.
Showcase and Indie Pitch participants may meet and communicate with conference attendees, developers, publishers, investors, service providers, and other industry professionals.
Networking opportunities are available throughout the conference.

Where can I leave boxes and personal belongings?

We recommend bringing as few boxes and large personal items as possible.
If you need to leave something temporarily, please ask the on-site team about available options.
Whenever possible, keep your belongings at your Showcase spot.
Please note that the organizers cannot guarantee storage availability or assume responsibility for unattended items.

Additional Information

What should I do if my plans change?

Please contact the manager handling your application as soon as possible.
This includes changes to:

  • your participation status;
  • the attending team member;
  • the Indie Pitch speaker;
  • the game being presented;
  • the equipment you plan to bring;
  • your space requirements;
  • your presentation;
  • your contact details.

The earlier you notify us, the more likely we will be able to accommodate the change.

Can all special requests be guaranteed?

No.

We will do our best to accommodate requests regarding placement, additional space, equipment rental, separate tables, or team changes.
However, all requests depend on the venue layout, available space, technical capacity, and the date on which the request is submitted.
